Intake Coordinator

The Intake Coordinator is responsible for managing new client inquiries and guiding individuals through the intake and scheduling process. You will be the first voice and first impression of our practice — helping clients feel supported, informed, and confident as they begin services.

This is a fast-paced role that requires strong communication, attention to detail, and the ability to juggle multiple tasks while maintaining a calm and caring presence.

Key Responsibilities

  • Respond to phone calls, emails, and online inquiries from prospective clients

  • Guide new clients through the intake process

  • Match clients with appropriate therapists based on needs and availability

  • Schedule initial appointments and maintain scheduling systems

  • Verify insurance benefits and explain payment policies

  • Maintain accurate client records in our electronic health record system

  • Provide a warm and professional first experience for clients seeking services

  • Coordinate with therapists and administrative staff to ensure smooth onboarding

  • Support overall front-office operations as needed

Ideal Candidate

We are looking for someone who is:

  • Highly organized and detail-oriented

  • Comfortable working in a fast-paced environment

  • Skilled at managing multiple priorities

  • Professional and discreet when handling sensitive information

Qualifications

  • Experience in customer service, healthcare, or administrative roles preferred

  • Experience with scheduling systems or EHRs is a plus

  • Strong phone and interpersonal communication skills

  • Proficiency with basic computer systems and office software

  • Ability to maintain confidentiality and professionalism
